Balkar Lighting (BL) understand and respect the importance of your privacy.

The Privacy Notice explains in detail the different types of personal data we may collect about you when you communicate with us. It also explains how your data is stored and the measures we take to ensure that your data is kept safe. Please note: We will update our Privacy Notice from time to time and notify you of any significant changes. In the context of this Privacy Notice, we will often refer to ‘Balkar Lighting’ as BL.

Whenever you give us your personal and/or business data, such as your name, address, or e-mail address, telephone number(s), we will only use and store that data for our legitimate business uses and in accordance with applicable GDPR data protection legislation.

When do we collect your personal data?

When you visit our website and contact us by either email, telephone or in written format such as letters.

When you provide us with the required information to enable us to quote and/or supply of our products and services.

We will not sell, rent or trade your personal information.

The information will only be used by BL, our distributors and systems partners if appropriate. We may also disclose your data to third parties and professional advisers acting on our behalf and who are obliged to keep that data confidential. This is for the sole and express purpose of providing you with the best quality service we like to offer. We may be required to disclose your information if required by any applicable law or regulation.

BL may use your data for the following purposes of but not withstanding:-

·  To inform you of details of special offers and promotions, news and information about BL and other related information if you have consented to this.

What sort of personal data do we collect?

Your personal contact details will be collected and stored on our computer systems and/ or mobile phone.

Copies of documents you provide to prove transfer of payments for products and/or services purchased.

How and why do we use your personal data?

We want to give you the best service possible and one of the ways we can do this is ensuring that we have all of your data to hand so that we can deal with any work/ queries as efficient as possible, be it current or possibly in the future for reference of works, projects, parts supplied or any other aspects of our services you have/had requested..

To be able to contact you; we keep your personal data stored on a database that will allow us to process standard letter templates to communicate with you if you have consented; for example to inform you of any offers and updates, news on projects we are working on or completed.

To send you communications required by law or which are necessary to inform you about our changes to the services we provide you. For example, updates to this Privacy Notice or new legislation in our industry. These service messages will not include any promotional content and do not require prior consent when sent by email or letter. If we do not use your personal data for these purposes, we would be unable to comply with our legal obligations.

How  we protect your data

All data that is held on a computer system is password protected.

Any data shared over electronic data exchange (including emails) is held for a maximum of 18 months

Any personal details held on mobile devices are password protected to ensure that it is not accessed by unauthorised personnel.

Client files holding personal data and project details are held a secure computer system to prevent unauthorised access

How long do we keep your personal data?

Whenever we collect or process your personal data, we’ll only keep it for as long as is necessary for the purpose for which it was collected.

Any data shared over electronic data exchange (including emails) is held for a maximum of 18 months. Data on projects, systems, history of work is kept indefinitely for reference to the works we have carried out and is for both safety and relevance to ensure that we can provide the best and correct service.

What are your rights over your personal data?

You have the right to request in writing by email and/or letter only:

Access to the personal data we hold about you, free of charge in most cases.

The correction of your personal data when incorrect, out of date or incomplete. • For example, when you withdraw consent, or object and we have no legitimate overriding interest, or once the purpose for which we hold the data has come to an end (such as if you decide to move to another firm of accountants.

That we stop using your personal data for direct marketing (either through specific channels, or all channels)

You have the right to request a copy of any information about you that the firm holds at any time, and also to have that information corrected if it is inaccurate.

To ask for your information to be amended, please contact us.

If we choose not to action your request, we will explain to you the reasons for our refusal.

Your right to withdraw consent • Whenever you have given us your consent to use your personal data, you have the right to change your mind at any time and withdraw that consent providing you have contacted us by email or letter only. We do not accept such over the telephone.

Direct marketing

You have the right to stop the use of your personal data for direct marketing activity through all channels, or selected channels. We must always comply with your request.

If you feel that your data has not been handled correctly, or you are unhappy with our response to any requests you have made to us regarding the use of your personal data, you have the right to lodge a complaint with the Information Commissioner’s Office.
